Case Study: How MCC transitioned from paper chaos to streamlined digital system.

Background

MCC is a medical facility specializing in helping patients with chest and lung issues. Their success overtime led to growth in patient numbers and with it rapid increase in patient files.

Challenges

As the number of patients grew, so did the piles of paper documents. The situation quickly became unmanageable, so did the piles paper documents.

  • File overload: Physical files were occupying large amounts of space.
  • Single source of knowledge: Only one nurse knew the filing system. If she left, no one else could locate records.
  • Duplicate records: When files could not be found, Staff created duplicates, resulting in multiple files for one patient.
  • Operational Risks: The responsible nurse was serving notice, creating a major continuity risk.
  • Upcoming Relocation: The facility was moving to a new building and did not want to carry over the burden of physical files.

The team was also resistant to change. Even after being shown how scanning worked, they preferred the outgoing nurse to handle the file management.

Solution

In June 2025 our team stepped in. Through a discovery call with the administration we mapped the issues and came up with a digitization plan.

  • File Conversion: We converted MCC’s patient records from paper into digital format.
  • Digital Adoption: Administration encouraged staff to actively use the digital files to get familiar with the system.
  • Change Management: We provided guidance and support so that staff could embrace digital records instead of relying on paper.
  • Future Proofing: By moving to digital, the risk of losing knowledge when staff changeover happens was eliminated.

The transformation was smooth, and the staff quickly adapted.

  • Ease of access: Digital documents were now easily retrievable without relying on one person’s knowledge.
