PROTECTING YOUR PERSONAL INFORMATION: THINGS TO KNOW BEFORE DESTRUCTION.

By Hellen Lubanga

Destroying documents with sensitive information goes beyond buying a shredder for your papers. By DIY-ing your shredding, you expose yourself to risks such as exposure of personal information and data leaks. The most secure way to ensure you destroy personal information is by entrusting the process with professionals.

Your document destruction needs depend wholly on your needs and can fall within the following service types.

1. ON-SITE/ MOBILE SHREDDING

When you hire an external company to carry out the destruction of your documents you have the option of onsite shredding. This means the document shredding is done at your premises or business location and then transported once everything is destroyed. The paper tends to be mixed to ensure nobody can piece the documents together and thereby gaining access to your personal information.

You also have the option of delegating a company member to oversee the destruction process to ensure all data is securely eliminated.

2. OFF-SITE SHREDDING

Off-site shredding refers to when document destruction professionals collect all documents meant to be shredded and carry them off location to be destroyed. This works well if documents do not have any sensitive data such as passwords or health histories or are not overly voluminous.

Expert shredders are always willing to sign a Non-disclosure agreement and carry out the shredding quickly to reduce risks of data leaks. You can also ask for proof such as a certificate of destruction in case further assurance is needed.

3. DROP-OFF SHREDDING

As the name suggests drop-off shredding services refer to the act of transporting over documents that need to be destroyed to document destruction companies. This form of document destruction is very popular among SMEs who do not have as heavy a destruction need as their larger counterparts. Such companies prefer to select times when the services are really needed rather than have frequent drop-offs. They also prefer to drop off services as they tend to cost less than contractual document destruction contracts.

4. MEDIA SHREDDING

Your information exists beyond paper trails. Living in the modern age your data probably exists on computer hard drives, CDs, Sim Cards, Flash disks among other digital platforms. It is for this reason you need experts to ensure that this data is destroyed in ways that cannot be regenerated or recovered.

THE LETTERHEAD PERSONALISATION DEBATE

THE LETTERHEAD PERSONALISATION DEBATE

By Hellen Lubanga

28/1/2022

Before settling on a letterhead design, you first have to decide whether you are going to use a pre-existing template or have a letterhead that is personalized to the specific needs of the company. Though existing designs do get the job done; a personalized letterhead can help a company express the identity of the company better than a generic design would.

So are personalized letters for you?

When personalizing your company letterhead it is important to outline what it is you need the document to do for you. Letterheads are not only one of the first representations of who you are as a company, but they also play an active role in progressing your sales and marketing strategy. This is why it is important to lay out all the facts in order to make an informed decision.

Below are just a few reasons as to why you and your business may or may not chose to use a personalized letterhead.

  1. Pros of personalizing
  • It paints you as a company that pays attention to detail

It may not seem like a big deal, however, clients tend to pick up on the fact that you went the extra mile to ensure that communication with them is pre-planned and thorough. This pushes customers to develop an affinity for your brand which in turn builds customer loyalty.

An increase in customer loyalty further results in increased referrals. Happy customers are the best form of marketing

  • Personalized letterheads Increase Credibility

When clients view a high-quality business letterhead, they immediately deduce that the company provides high-quality products or services as well. Customized stationery makes your business look professional and experienced. By using it, you are able to build relationships with your existing and potential clientele as they are more likely to trust your company and your brand.

  • Strengthens brand awareness

Letterheads contain information of who you are, where you are located and at times a summary of what it is you do. This way customers are able to learn of your existence and they can easily find you. Your colours and design also give a sense of your company culture. For instance, a design with multiple graphics and colours could paint you as bubbly and youthful, while more solid colours and shapes give you a more formal vibe.

  1. Cons of personalizing
  • Personalization may not have the same effect across various cultures.

Various Graphics could mean different things in different cultures. For instance let us say you own a restaurant and one of the graphics used in your letterhead is a crossed fork and knife, (This could be your logo or watermark). There exist superstitions in some cultures that a crossed fork and knife is a sign that the food served is or was not satisfying. Superstitions such as this could negatively impact business and make you lose potential income. It is important to research extensively especially if your target audience is that of an international background.

  • One size does not fit all.

In a bid to relate more with your target audience you may choose to add features or designs to your letterhead that are usually associated with the said target audience. For instance, if you own a recreational business such as a swimming pool, but only use images and colours associated with minors. Potential clients may assume that you cater exclusively to children or those yet to reach adult status. It is a good idea to keep it simple if your product’s intended target audience spans across various customer profiles.

  • Wanting to be relatable may come off as a stereotype.

We all know specific that demographics are associated with specific likes and hobbies, this can be based on age, gender, race etc. In a bid to seem more relatable to your target audience you risk coming off as stereotypical. It is perfectly fine to include designs you know are more likely to resonate with your target audience however try not to go over the top as this may have the opposite reaction than what you expected.

Promotional Print Trends of 2022

PROMOTIONAL PRINT TRENDS OF 2022

BY HELLEN LUBANGA

22 JAN 2022

1. Branding of PPEs

Personal protection equipment also known as PPEs are protective clothing helmets goggles or other garments or equipment designed to protect the wearer’s body from injury or infection. Commonly used in the manufacturing, mining, and health industries, over the last decade PPEs, have become a legal requirement but their uses do not have to stop at safety.  PPEs have also become a fantastic branding opportunity.

Initially, it came off as unnecessary, but recent years have shown the immense impact branding has on a company’s output and public image. For example, the Branding of employees’ apparel/uniforms doesn’t only just look organized, but it creates brand awareness. It offers a more professional image and helps the public identify who your people are and the company they’re from. When Customers see your employees doing their jobs well, they begin to identify this with the company for which they work which in turn creates a positive buzz for your business. Not to mention branded PPEs show the public that you take the safety of your employees seriously and this further serves to improve how the public sees you. Reputation is key when it comes to client attraction and retention.

2. Branding of situation-appropriate give-aways

We all know that there is an ongoing pandemic, and most industries have had to re-adjust how they do business, and this includes Promotional giveaways. Before the Pandemic companies gave away pens, caps, mugs, key chains, etc. all of which are still viable options. However, with the pandemic, more and more companies have seen the need to be more creative.

This is where the branding of masks and hand sanitizers comes in. By putting your logo or company name on hand sanitizer or face masks you paint your company as one that focuses on health and wellness as opposed to just making a profit, which serves to create a lasting impression. Not to mention the constant exposure of your brand to the public serves as marketing. There exist other items you can gift to customers to provide them with a sense of health and security such as first aid boxes, or branded sun-screen/ lotion bottles. However, you have to be careful to ensure that the giveaway item is easily portable to get the most out of the marketing portion.

3. Sustainable and re-usable products.

Going green is now more important than ever. Giving out branded items that show social responsibility is a welcomed and admired practice that boosts your company’s reputation and further cement your brand identity as one that cares.

Using products made with recycled and natural materials, as well as durable items, will show your brand’s support of the environmental conservation efforts being practiced globally while preparing you for when the world eventually becomes waste/plastic-free.  For example, giving out of canvas bags and stainless-steel mugs, as opposed to disposable fabrics and drinkware.

4. Use of Personalised images

Stock photos are a useful tool in marketing however with more and more businesses coming up it is important you find ways to stand out and this includes the images you use in your promotional prints such as On Fliers, pamphlets, brochures, etc. It is advisable to use images specifically designed to tell the company’s story, images that align with the message you are attempting to put out into the market.

So why is using personalized images so important?

With stock photos, you still have to follow licensing requirements. For instance, some photos can only be used for editorial use and not marketing purposes. This leaves you open to possible legal action against the company. Furthermore, there is no exclusivity with stock images, which means competitors could use the same images that you select. This affects efforts made by the company when attempting to create a distinguishable brand identity. Lastly, you never know the impression your potential client will have when they view the stock photo. This is why the use of personalized images is definitely a trend to look into in 2022.
