    1# Identify your files and their groupings.

    Do you already have an established naming convention? If you have one it will direct you in storing your files. If you have none or want to change your naming convention then you have to start from scratch.

    Start by identifying the most important metadata [metadata is a set of data that is given to describe or help you use other information (Cambridge dictionary)]. Start by putting the most important information first. This can be the date. Then a name which should be descriptive. For the files to stay in chronological order the date to preferably start with the year, month and the date.

    Use a sequential number system which leads with zero for clarity. For example “001,002, ….010,011……….100. Using a standard naming format for all your files and folders will ensure consistency within the whole company. The whole team agreeing and using this naming format will increase consistency. 

    2# Create and document codes for future reference.

    You have to agree on the shortened codes, these will help in having shortened and easy to access naming. By standardizing categories into 2 or 3 letter codes allows ease of search. Use as minimal text as possible.

    You can use characters to separate each piece of metadata in the files. You can use underscore ( _ ) and hyphens ( – ) to separate your metadata. Avoid special characters such as @,&,$,#,<,>,%,*,^,+,~.

    7# Include Status indicators

    What is the status of your document? You can indicate this in the naming of your documents for clarity. Define whether it is in the “Draft”, “Final” or “Archived” Status. For example “Budget report_2024_Final.pdf

    8# Use of Caps

    You can use capital letters at the beginning of every word to help identify the words and make them legible. Avoid all caps if possible unless it’s a standard code.
